What personal information can a user view and edit on My Profile?

In the About section, the user can view and edit:

  • Their name (first name and last name)
  • Date of birth
  • Profile photo
  • Marketing preferences (opt-in/opt-out checkbox)

If the user holds a Tenant account, they will also see their Employment Status.

What information is shown under a Tenant account on My Profile?

Under the Tenant tab the user canview and manage:

  • Authorised contacts - people authorised to act on their behalf
  • Current address - their residential address, which they can add oredit. If no address has been provided, a message will indicate this.

What information is shown under a Private Landlord account?

1. Account details - including:

  • Correspondence address - the user can add or edit this
  • Authorised contacts - people authorised to act on their behalf
  • Certificate customisation - the ability to upload a signature and logo for deposit protection certificates

2. Billing - including bank details and card details, used for deposit payments and refunds under both Custodial and Insured-backed schemes.

What information is shown under a Company Landlord or Agent account?

Under a Company Landlord or Agent tab the user will see:

  • Company - their business logo and trading name (or company name if no trading name exists), linked to the company details
  • Offices - the list of offices they are associated with
  • Roles - their assigned role within the company (this cannot be edited by the userdirectly)

What is the 'Send me news and updates' option?

It is a marketing preference that allows the user to opt in or out of receiving news and updates from mydeposits. If they opt in, the mydeposits team may contact them with relevant updates and news outside of the system. This is separate from essential system notifications (such as deposit protection confirmations or release request updates), which the user will continue to receive regardless of this setting.

How does a user update their email address?

  1. The user goes to the Contact details section in My Profile
  2. They select the option to edit their email
  3. A confirmation message will be sent to the new email address - the user will need to check their inbox and confirm before the change takes effect. The current email will remain active until the new one is confirmed.

Note: the new email cannot be the same as any of the user's Authorised contacts' email addresses.

How does a user change their mobile number?

  1. The user goes to the Contact details section in My Profile
  2. They select the edit option next to their primary mobile number
  3. They enter the updated number.

What types of user accounts are available in the system?

The system supports several account types depending on the user's role. Landlords can be Private Landlords (individuals), Company Landlords (incorporated companies), or Joint Landlords (co-owners added to a property). Agents are letting or managing agents acting on behalf of landlords - they can be private individuals or companies. Tenants are individuals renting a property. There are also specialist types such as Charities, Trusts, llps, and Partnerships, which generally operate in the same way as Company accounts.

Can a user have more than one account type under the same email?

Yes.The system supports multiple account types linked to a single profile. For example, a user could be both a Landlord and a Tenant under the same login. After logging in, they can switch between their linked accounts using the account selector in the navigation panel - there is no need to log out and logback in with a different email.

How does a user switch between accounts if they have multiple account types?

My Profile displays all the user's account types as tabs (e.g. Agent, Landlord, Company Landlord, Tenant). By default, the account the user is currently logged in under is shown. To view another account's details, they select its tab. If they need to edit a different account, they switch to it via the sidebar. If a user has multiple accounts of the same type and would like to merge them, they should contact support for assistance.

What does the "Inactive" label next to an account type mean?

If an account has been deactivated as part of a link or merge process, the tab will display the account type followed by "Inactive" (e.g. "Landlord Inactive"). A notification will also appear below indicating that the account has been moved to another user, with a link to their profile.

What are Authorised contacts and how does a user manage them?

Authorised contacts are individuals the user designates to act on their behalf in relation to their deposits and tenancies. They can add and manage authorised contacts from their Tenant or Private Landlord account tab under My Profile.

What is Certificate Customisation?

Certificate Customisation allows the user to personalise their Deposit Protection certificates (Prescribed Information) by uploading their own signature and logo. Once saved, these are automatically applied to any certificates generated or regenerated for their deposit protections.

What can a user upload in the Certificate Customisation section?

  • Signature - An image of their signature (accepted formats: .svg, .png).
  • Logo - Their company or business logo (accepted formats: .gif, .png, .jpg).

Each file must be no larger than 5 MB.

How many signatures and logos can a user have?

A user can have one signature and one logo saved at a time per user account.

Can a user crop or adjust their uploaded image?

Yes. When the user uploads a signature or logo, the system provides a cropping tool that lets them select the area, change its position, and zoom in or out. By default, the system selects a square with the largest possible diameter.

How can a customised certificate be previewed?

Once the user has uploaded a signature or logo, a note will appear: "To preview the customised certificate page, download it here." Clicking the link opens a new tab showing a progress bar while the PDF is generated, andthen displays the preview of the certificate.

Will a signature and logo be applied to all certificates?

The signature and logo will be applied to all new certificates done after the logo or signature change.

What happens if a signature or logo is deleted?

If a signature or logo is removed, any certificates that were previously generated with them will still display the old signature/logo. The removed signature or logo will only stop appearing on future certificates.

Where can a user find their billing details?

The user goes to My Profile and selects their account tab. Their billing information is located in the Billing section.

What billing information is stored in a user's account?

The Billing section contains two main areas:

  • Card details - the debit card used for transferring deposits or membership payments (Private Landlords)
  • Bank details - the bank account used to return deposits to the user

How does a user add a card to their account?

The user goes to the Billing section in My Profile and clicks Add card under Card details. They enter their Card Number, Expiry date, and CVV/CVC. The Save button will become active once all required fields are filled with valid values. By providing their card information, the user allows mydeposits to charge their card for future payments in accordance with the terms.

How does a user replace or delete their saved card?

In the Billing section under Card details, the user clicks Replace card to update their card with new details, or clicks Delete to remove it.

Will a user be notified if their card is about to expire?

Yes. The system displays an expiration warning in the Card details section. In the last month before expiry, the user will see a notification: "In [n]days your card will expire." Once expired, the message changes to: "This card has expired."  The user should replace their card before it expires to avoid payment disruptions.

How does a user add or update their bank details?

The user goes to the Billing section in My Profile and clicks Add bank details under Bank details. They select their bank's location (UK is the default), then enter the required fields: Account holder name, Account number, and Sort code. They click Save to confirm. To update existing details, they click Edit and make their changes.

What are a user's bank details used for?

  • Custodial:
    Because mydeposits holds the deposit for the duration of the tenancy, the user's bank details are used by the system to return their share of the deposit directly to them at the end of the tenancy.
  • Insured-backed:
    The user's bank details are needed to receive any amount awarded to them through the resolution process.
