It is a marketing preference that allows the user to opt in or out of receiving news and updates from mydeposits. If they opt in, the mydeposits team may contact them with relevant updates and news outside of the system. This is separate from essential system notifications (such as deposit protection confirmations or release request updates), which the user will continue to receive regardless of this setting.
Note: the new email cannot be the same as any of the user's Authorised contacts' email addresses.
The system supports several account types depending on the user's role. Landlords can be Private Landlords (individuals), Company Landlords (incorporated companies), or Joint Landlords (co-owners added to a property). Agents are letting or managing agents acting on behalf of landlords - they can be private individuals or companies. Tenants are individuals renting a property. There are also specialist types such as Charities, Trusts, llps, and Partnerships, which generally operate in the same way as Company accounts.
Yes.The system supports multiple account types linked to a single profile. For example, a user could be both a Landlord and a Tenant under the same login. After logging in, they can switch between their linked accounts using the account selector in the navigation panel - there is no need to log out and logback in with a different email.
My Profile displays all the user's account types as tabs (e.g. Agent, Landlord, Company Landlord, Tenant). By default, the account the user is currently logged in under is shown. To view another account's details, they select its tab. If they need to edit a different account, they switch to it via the sidebar. If a user has multiple accounts of the same type and would like to merge them, they should contact support for assistance.
If an account has been deactivated as part of a link or merge process, the tab will display the account type followed by "Inactive" (e.g. "Landlord Inactive"). A notification will also appear below indicating that the account has been moved to another user, with a link to their profile.
Authorised contacts are individuals the user designates to act on their behalf in relation to their deposits and tenancies. They can add and manage authorised contacts from their Tenant or Private Landlord account tab under My Profile.
Certificate Customisation allows the user to personalise their Deposit Protection certificates (Prescribed Information) by uploading their own signature and logo. Once saved, these are automatically applied to any certificates generated or regenerated for their deposit protections.
Each file must be no larger than 5 MB.
A user can have one signature and one logo saved at a time per user account.
Yes. When the user uploads a signature or logo, the system provides a cropping tool that lets them select the area, change its position, and zoom in or out. By default, the system selects a square with the largest possible diameter.
Once the user has uploaded a signature or logo, a note will appear: "To preview the customised certificate page, download it here." Clicking the link opens a new tab showing a progress bar while the PDF is generated, andthen displays the preview of the certificate.
The signature and logo will be applied to all new certificates done after the logo or signature change.
If a signature or logo is removed, any certificates that were previously generated with them will still display the old signature/logo. The removed signature or logo will only stop appearing on future certificates.
The user goes to My Profile and selects their account tab. Their billing information is located in the Billing section.
The Billing section contains two main areas:
The user goes to the Billing section in My Profile and clicks Add card under Card details. They enter their Card Number, Expiry date, and CVV/CVC. The Save button will become active once all required fields are filled with valid values. By providing their card information, the user allows mydeposits to charge their card for future payments in accordance with the terms.
In the Billing section under Card details, the user clicks Replace card to update their card with new details, or clicks Delete to remove it.
Yes. The system displays an expiration warning in the Card details section. In the last month before expiry, the user will see a notification: "In [n]days your card will expire." Once expired, the message changes to: "This card has expired." The user should replace their card before it expires to avoid payment disruptions.
The user goes to the Billing section in My Profile and clicks Add bank details under Bank details. They select their bank's location (UK is the default), then enter the required fields: Account holder name, Account number, and Sort code. They click Save to confirm. To update existing details, they click Edit and make their changes.
