The user navigates to the "Properties" menu item and selects "Add property". They are guided through a stepper with up to 4 steps: (1) Landlords - select who the property is being added for, (2) Property - enter the property name, address, and office (if applicable), (3) Additional details- optionally provide a correspondence address, and (4) Confirmation - review and submit. If the user leaves the stepper without submitting, the property will not be saved. Once added, the property appears in their Properties list with a "Vacant" status.
The user must provide a property name (a personal reference for the record) and the property address. They can use the address lookup to find the property, or seta custom address if it is not found. They must also specify the property type. If adding a property on behalf of a Company Landlord or Agency, the user can select the office the property will belong to.
The property name itself can be duplicated, but the combination of property name + full address must be unique within the same Lead Landlord. The system will prevent a user from adding a duplicate.
The user selects the "Properties" menu item to see a list of all their properties. They can sort the data by any column (ascending or descending) and filter by one or more columns at a time. To reset the view, they can use the "Reset to default" option at the bottom of the page.
Private or Company Landlords can see all properties they have added. Agents can see all properties belonging to the agency they are part of, based on their assigned permissions and office. Company users will only see properties belonging to the offices they are assigned to and have the relevant permissions for.
Yes, but with restrictions. The user can edit property details, Joint Landlord details, and move a property to another office. However, once money has been lodged against the property (even £0.01), property detail amendments are no longer available. Edits can still be made before any money is lodged.
A property can be either Vacant (no active tenancy linked) or Occupied (at least one active tenancy is linked to the property).
A user with the appropriate permissions (Company Admin by default) can move aproperty to another office within their company. This is only possible before money is lodged or membership is confirmed. The user clicks the move icon on the property, selects the destination office, and confirms.
Yes, during the property creation stepper the user can add any number of Joint Landlords (co-owners). A Joint Landlord can be a person or a Company, new or existing. Joint Landlords added during creation will not receive system invitations. The user can also add or remove Joint Landlords from the Property Details page, but only before money is lodged.
Property type indicates the kind of property (e.g., flat, house, etc.). It is a required field when adding or editing a property. If you use the address lookup, the property type may be pre-populated automatically. If you set a custom address, you'll need to select the property type manually.
Company users need the "View properties" permission to see the properties list and details, and the "Manage properties" permission to add, edit, or delete properties. By default, all Company employees can view properties, and the Company Admin has full manage permissions. If a user does not have the required permissions, the relevant buttons and menu items will be hidden, and they will receive an error if they attempt to access them via URL.
No. If an Agency is the property manager, the Landlord will have read-only access to that property. They can view the property details, Joint Landlords, and Agency details, but they cannot edit any section.
