How does a property manager add a new tenancy?

The property manager navigates to Properties in the menu, searches for and selects the relevant property, then clicks Add tenancy. A stepper guides them through four steps:

  1. Details - tenancy name, rent amount, frequency, and dates
  2. Tenants - add one or more tenants
  3. Interested parties - add anyone who has paid the deposit on behalf of the tenant (optional)
  4. Confirmation - review and submit

All required fields must be completed and the form submitted. If the stepper is exited without submitting, the tenancy will not be saved. Once added, the tenancy appears on the Tenancy tab under the property.

At the confirmation step, the property manager can also choose Add tenancy and protect deposit to proceed directly to setting up deposit protection.

What details are required when creating a tenancy?

At a minimum, the following must be provided:

  • Rent amount
  • Frequency of rent

The deposit amount is auto-calculated based on these values, though a custom deposit amount can be set if needed.

The following fields are optional:

  • Tenancy name - if left blank, one is auto-generated
  • End date - if left blank, the tenancy is created as a periodic tenancy

Tenants and interested parties can be added during creation or at a later time.

What are the different tenancy statuses?

There are four statuses:

  • Incomplete - tenancy details have been provided but no tenants have been added. (This status is only visible to property managers, not tenants.)
  • Registered - tenancy details and at least one tenant have been provided, but the start date is in the future.
  • Active - the tenancy start date is today or in the past, at least one tenant has been added, and the tenancy has not been closed.
  • Closed - the tenancy has ended. This is triggered differently depending on the deposit scheme (e.g. A release request is initiated for Custodial, or protection is ended for Insured-backed).

How does a property manager view their tenancies?

The property manager selects Tenancies from the navigation menu. This displays a list with columns including tenancy address, lead tenant, deposit protection type, start date, end date, and status. The list can be sorted by any column and filtered by one or more columns.

Tenancies for a specific property can also be viewed by navigating to that property and using the Select tenancy button.

How does a tenant view their tenancies?

Tenants can view their tenancies from the My home or Deposits menu items. The tenancy list shows the tenancy name, start date, end date, property manager, lead tenant, deposit protection type, and status. "Periodic" or "Renewed" labels are displayed next to the tenancy name where applicable.

Please note:

  • Tenancies in Incomplete status are not visible to tenants.
  • Tenants can view tenancy details in read-only mode but cannot edit tenancy details or manage the household.

Can a tenancy be edited after it has been created?

Yes, tenancies can be edited in all statuses except Closed.The property manager opens the Tenancy tab, clicks Edit on the relevant section (Details, Tenants, or Interested parties), makes the changes, and clicks Save.

Certain fields - such as tenancy name and start/end dates transferred can only be edited when the related deposit is not yet protected.

How are tenants added to or removed from a tenancy?

On the Tenancy tab:

  • To add a tenant - the property manager clicks Add tenant and searches for an existing account by email or name, or enters details for a new user. New users are automatically invited to join the system.
  • To remove a tenant - the property manager clicks the Menu option on the tenant's card and selects Delete.

The lead tenant cannot be removed until the lead role has been reassigned to another tenant using the Set as a lead option.

What is a periodic tenancy and how does it work?

A periodic tenancy runs indefinitely on a rolling basis (month-by-month or week-by-week, depending on rent frequency) until the tenancy is ended or a new one is created.

A tenancy is created as periodic by leaving the End date blank when adding or editing it. If a fixed-term tenancy passes its end date without being renewed or set as periodic, the system automatically converts it to a periodic tenancy.

The end date column displays "Periodic" in the tenancies list.

How is a tenancy renewed or set as periodic?

On the Tenancy tab, the property manager clicks the Renew tenancy button (available only when the tenancy status is Active).Two options are presented:

  • Renew tenancy - extends the tenancy with a new fixed end date. A default new end date is suggested based on the original tenancy length, but it can be changed.
  • Set tenancy as periodic - converts the tenancy to run indefinitely with no fixed end date.

A corresponding label ("Renewed" or "Periodic") is displayed next to the tenancy name after confirmation.

Can multiple tenancies exist on the same property?

Yes, any number of tenancies can be added to the same property in Incomplete, Registered, or Active status. This applies to both renewed and periodic tenancies. Tenancy dates are also allowed to overlap.

What are interested parties and how are they added?

An interested party is someone who has paid the deposit on behalf of the tenant. They can only be added once at least one tenant has been provided. Interested parties do not receive an invitation to join the system.

They can be added during tenancy creation (Step 3 – Interested parties) or later from the Tenancy tab by clicking Add interested party and entering their details.

How does the system decide which tenancy to display by default?

When a user navigates to a property, the system displays the most recent tenancy in the following priority order:

  1. Active     tenancy (most recent)
  2. Registered     tenancy (if no active tenancy exists)
  3. Incomplete     tenancy (if neither of the above exists)

Users can switch between tenancies using the Select tenancy button, which opens a list of all tenancies linked to that property, including closed ones.

What is bulk upload?

The bulk upload feature allows property managers to add several properties, tenancies, and protections to the mydeposits system in one go. This is done by downloading a CSV template, filling in the required data, and uploading it. Once uploaded, the records are automatically added to the property manager's account. This feature works for both custodial and insured-backed deposit schemes.

What can be included in a bulk upload?

A bulk upload can include:

  • Properties only (property address and landlord details)
  • Properties with tenancies (including tenancy details)
  • Properties, tenancies, and protections (including tenant details and protection type)

When including deposit protection details, thescheme can be specified as Custodial or Insured-backed. Missingtenants or protections can be added afterwards if needed.

Where can the bulk upload feature be found?

When logged into their account, property managers can find the bulk upload featureunder the "Bulk upload" tab within the Tenancies menu.

How is the bulk upload feature used?

There are 10 steps to complete a bulk upload. Key steps include:

  1. Go to the bulk upload tab
  2. Select notification preferences
  3. Choose the office (if multiple offices exist)
  4. Upload   the CSV file
  5. Click Start import
  6. The system runs validation checks
  7. Review validation results and errors

The process is the same whether uploading custodial or insured-backed deposits.

What happens after a CSV file is uploaded?

After upload

  • The system imports the file
  • Validation checks are run
  • No records are created yet during validation
  • Errors may appear if the file format or structure is incorrect

For insured-backed deposits, additional validation checks are performed — for example, the system verifies that the property manager has an active insured-backed membership and that the property is in an England or Wales region (custodial and insured-backed on Total Property is only available for E&W).

How can errors in an upload be fixed?

Property managers can:

  • Download and review the error log.csv
  • Check error messages shown after the data columns
  • Correct the CSV and re-upload

Can a bulk upload be done for multiple offices?

Yes. Property managers can

  • Select an office during upload
  • Upload separate CSV files per office
  • Or change the office later by editing the property record

What happens if the wrong file is uploaded?

The file can be removed by clicking the bin icon next to the file name, and the correct file can then be uploaded.

Can a property manager navigate away during processing?

Yes, the system continues processing in the background while the property manager navigates elsewhere.

What happens after validation completes?

The system displays a summary including:

  • Number of records that passed validation
  • A list of uploaded records
  • Highlighting to indicate success/errors

Does a property manager need an active insured-backed membership to bulk upload insured-backed deposits?

Yes. If Insured-backed is selected as the deposit scheme in the CSV file but the property manager does not have an active insured-backed membership, the system will return the error: "Insured-backed membership is not activated." The insured-backed membership must be activated before uploading insured-backed deposits.

Can custodial and insured-backed deposits be mixed in the same bulk upload file?

Yes, both custodial and insured-backed deposits can be included in the same CSV file. Each row can specify a different scheme.

What happens after a successful bulk upload?

After a successful import, the outcome depends on the deposit scheme:

  • Custodial: The deposit records are created and can be added to the basket for payment directly. Once payment is completed, the deposits are protected and tenants receive their Prescribed Information and invitation.
  • Insured-backed: The deposit records are created with a status of "Not     protected" and a unique Deposit Protection Number is generated. The property manager will then need to protect the deposits separately (e.g. Via the basket/checkout process), as protection requires allocation through their active insured-backed membership. Once protected, the     Prescribed Information certificate is generated and tenants receive their     invitation.

In both cases, a summary of successfully uploaded records is displayed at the end of the bulk upload process.
